Event Setup and Teardown Crews: Load-In, Staging and Load-Out

An event setup and teardown crew is a group of temporary workers who build and break down an event: unloading trucks, setting up booths and stages, moving furniture, laying carpet and signage, running cases to the floor and loading everything out again. The work is physical and time-boxed, with a hard deadline for the doors opening.

Event labour is measured in tight windows. A trade show may give you one night for load-in and four hours for load-out, so crew size, start times and the order of work set the schedule. The venue may also have rules about who can handle what, so ask the venue first.

A good order says what is being built, how many people, when the freight arrives and who gives instructions on the floor. Tell the specialist whether the crew works under an exhibitor, a decorator or your own staff.

What changes the price

Call times and hours
Overnight and early-morning calls cost more than standard days.
Crew size and skill
More workers or workers with rigging experience change the rate.
Venue rules
Some venues require specific labour arrangements, which affects who can do what.
Freight volume
Large quantities of crates and heavy items mean more labour hours.
Duration
A one-day load-in is priced differently from a multi-day build.
Minimum hours
Short calls still bill the minimum shift.

Event Setup & Teardown: questions people ask

Can the crew work overnight?

Yes, many load-ins happen overnight. Overnight calls usually carry a premium and are stated in the proposal.

Does the client need to supply tools?

Basic hand tools and carts are often provided by the exhibitor or the venue. Confirm who supplies what.

Will the crew know how to build a specific booth?

They follow your instructions and drawings. Provide them in advance, and name a supervisor.

What if the freight is late?

Workers are paid for the time booked, so say whether the call can slide if freight is delayed.
